Exhibitor Terms & Conditions

Hours of Operation: 2017 Event is November 18th. Event begins at 10 am on Saturday and remains open until 3 pm.

Application Jurying: All applications for this show are juried. Exhibitor space will be determined according to your product and the order in which agreements are received. To ensure diversity in this show, we are limiting Commercial and/or Home Party Vendors to one per company and reserve the right to limit the number of Handmade Arts & Crafts Vendors displaying works in similar mediums.

Application Dates: Final applications date is October 20th, 2017. Notification of acceptance and invoices will be sent via email on an ongoing basis. All payments are expected within a week of receipt of invoice Payments must be received no later than November 9th, 2017 or your space will not be reserved and you may not be invited back to future events.

Images: Please submit images requested below with your application. We can accept images up to 1,200 pixels.
  • Handmade Arts & Crafts Vendors - Please submit three (3) images representing your work and one (1) of your booth set up.
  • Commercial and/or Home Party Vendors – Please submit one (1) of your booth set up and a link to a website or a brochure of the products you are selling.

Booth Assignments: Single booths include one 6 foot table and 2 chairs for $40. All displays must fit within space allotted. If you prefer a space without a table, indicate that with your application. We have limited premium spaces available in the lobby for $50 each.

Booth Fees: After you have been accepted into the show, payment for the number of spaces you are reserving at $40 a space are due within a week. The last day for payments is November 9th, 2017. Invoices will be sent via email. You can pay through Paypal at www.oberlin.org; via cash (in person only) or by check (in person or mail) at the OBP Office, 23 East College Street, Oberlin, OH 44074.

Displays: Exhibitors displaying items not approved before the event date may be asked to put them away, or be asked to leave without refund. All products must be in good taste. This event is family friendly in a public space. Exhibitors must submit photographs or brochures of their product for consideration.

Door Prizes: Every vendor is asked to provide at least 1 door prize valued at a minimum of $10. These will be given away at your booth, so it means increased traffic if you participate!

Lighting and WiFi: You will have access to electricity for an additional $5 fee. The lighting is very good throughout the space. Please bring your own hotspot if WiFi is needed.

Vendors License and Sales Tax: All vendors with an Ohio vendors or business license are responsible for collection and payment of applicable sales taxes.

Miscellaneous: Space must be free of trash at all times. Tables must be staffed throughout the event. Please keep walkways clear.

Cancellations: All cancellations made up to November 10th, 2017 will incur a $15 administrative fee. No refunds will be given for cancellations received after November 10th or for early departures on the day of the event.

Promotions: We will promote the event through our website, social media, print flyers and traditional media. Please help us share this event by posting and sharing the event with your client lists and on your social media sites. Our Facebook site is www.facebook.com/FestivalofTreesOberlin.

Release of Liability: As a participant in the 2017 Oberlin Holiday Bazaar, I have read and understand the conditions of participation provided on this application. I agree to assume all risks of participation and hereby waive, release and discharge any and all claims for any and all liability, claims, demands, and actions or suits against the Oberlin Holiday Bazaar, Oberlin Business Partnership, the City of Oberlin and the respective and appointed officers, agents and employees, which I may have, or which hereafter accrue to me, as a result of my participation in this event. I agree for myself, my heirs, administrators, executors and assigns, that I shall indemnify and hold harmless the Oberlin Holiday Bazaar, Oberlin Business Partnership, the City of Oberlin and their respective elected and appointed officers, officials, agents and employees, from any and all claims, demands, actions or suits arising out of or in connection with my participation in this event. This waiver applies to every individual that will be working in my booth.
